Delete your Hikayat Scribe account

This page explains how to have your Hikayat Scribe account and its data deleted, what gets deleted, and what we have to keep.

How to delete your account

  1. Sign in to Hikayat Scribe, on the website or in the Android app.
  2. Open the menu and choose Account.
  3. Under Delete account, type DELETE and enter your password (or confirm with Google if you sign in with Google), then press Delete my account.

Deletion happens straight away, any paid subscription is cancelled, and we email you to confirm. If you want a copy of your notes first, use Download my data on the same page.

If you cannot sign in, or your hospital manages your account

Email support@hikayatai.com from the address your account is registered under, with the subject Delete my account. We confirm the request is genuinely from the account holder - this protects your patients’ records from being deleted by someone who is not you - then delete the account and confirm by email, normally within 7 days and at the latest within 30 days. Accounts set up by a hospital are closed with that hospital’s agreement, because the hospital controls those records.

What is deleted

Deleting your account permanently removes:

  • your account and profile (name, email, specialty, clinic details, login credentials);
  • every consultation on the account, including transcripts and generated notes;
  • progress notes and any documents generated from those consultations;
  • your note templates;
  • any qualification document you uploaded, and its review record;
  • any unused email verification or password reset links.

This is a permanent deletion from the live database, not an archive or a flag. It cannot be undone, and we cannot restore an account afterwards.

What is kept, and why

Two things survive account deletion, and neither contains your consultation content:

  • Security audit logs - a record that an action occurred, when, and from what IP address. These exist so that access to clinical records can be accounted for after the fact. Deleting them on request would defeat the purpose of keeping them, and they hold no transcript or note content.
  • Billing and usage records - the cost of processing performed on the account. Kept to meet accounting and tax obligations. These hold usage totals, not clinical content.

If you do nothing

Consultation transcripts and notes are deleted automatically 180 days after they are created, whether or not you close your account. Account deletion is not required for that to happen.

Deleting some data without closing your account

You can delete individual consultations from within the app at any time, which removes that consultation’s transcript and note. To have other data removed while keeping your account, email support@hikayatai.com and say what you want removed.

A note for doctors about patient data

For consultation content, you are the data controller and Hikayat is your processor. Deleting your account deletes that data from our systems, but it does not discharge any obligation you have to retain clinical records in your own hospital or clinic system. Check your own record-keeping requirements before requesting deletion.
